Administrative Clerk III – Information Services
GENERAL STATEMENT OF DUTIES:
The position is responsible for a variety of tasks relating to communication service work, operating communications equipment and procurement of goods.
Directory Services Duties and Responsibilities:
- Operates communications equipment; process incoming calls, routing them to correct location
- Provides general information, directory assistance, and assistance in dialing international calls and conference calls
- Assists callers in emergency situations
- Assists in correcting errors in the directory
- Assists employees with the use of telephone equipment or voice messaging procedures
- Compiles and analyzes statistics on system usage
Procurement Duties and Responsibilities:
- Obtains quotes, creates purchase and check requests
- Receives, inspects and distributes merchandise to appropriate individuals; files damage claims with freight companies or vendors
- Maintains contact with vendors regarding orders and merchandise
- Matches invoices to packing slips and proposals, submits invoices to Accounts Payable
- Reconciles department procurement card account
- Prepares periodic reports related to purchasing, inventory control, and shipping and receiving
- Evaluates the quality and appropriateness of supplies and equipment; conducts cost/quality comparisons
- Obtains and updates information on open market and contract purchase prices
QUALIFICATIONS, KNOWLEDGE, SKILLS, ABILITIES:
- Directory services communications and voice messaging systems
- Customer service principles and practices
- PC computers and relevant Microsoft Office applications including the ability to create spreadsheets and word-processing documents
- Procurement and accounts payable procedures
- Administrative and clerical office procedures
- Excellent verbal and written communication skills
- Ability to work well with a wide range of people
- High School diploma required

Part time Administrative Secretary II, 20 hrs. per week. Proficiency in Microsoft Office required. Responsible for a wide variety of office duties. Ability to work independently and meet deadlines.
